Introduction to verification
Verification is an optional feature in Fyle. If you enable this feature, an additional verification step is added to your reports workflow. After any expense report is approved, a verifier (any employee with verifier role in Fyle) will additionally have to verify the expense report before it can be processed or closed.
Enable verification in your organization
Navigate to Admin Settings > Account > Advanced.
Scroll down to Expense Reports. Under Mandatory Verification, enable the toggle to Yes.
To disable verification, you can switch the same toggle back to No.
This will successfully add the verification step as a mandatory step in your organization's reports workflow.
Add verifiers in your organization
To allow an employee to verify reports, you can give them verifier role,
Navigate to Admin Settings > Employees > Manage Employees.
Click on the employee you want to make a verifier.
Scroll down to Role. Click on Change.
Select the Verifier option (along with existing selected roles).
Click on Save.
The employee will now be able to verify reports in your organization.
(For verifiers) Steps to verify an expense report
As a verifier, you can view all reports that have been approved can be found under Expense Reports > Approved.
To start verifying the reports, select those with a greyed check mark against them in the Verified column and click Verify.
This will open all the expenses of the selected reports sequentially; you can Start Verification process and verify each expense individually.
Once all the selected reports have been verified, you will see a green mark indication against the reports in the verified column.
Verified reports can now be reimbursed or closed depending on whether your organization has reimbursable expenses or only corporate card expenses.
As a verifier, you can also take the following actions on any expense report:
Add approver: Add an additional approver to review the expense report.
Send back: Send the report back to the employee for review, requiring them to re-submit the report once fixed.
Edit: Edit any incorrect details in the expense report on behalf of the employee.
