How to Set up Custom Lists/Records/Segments in Fyle NetSuite Integration?

This article will walk you through the simple steps to obtain the necessary IDs from NetSuite and integrate custom Lists, Records, or Segments into the Fyle NetSuite Integration.

Accessing the Custom List/Record/Segment page in Fyle-Netsuite Integration

  1. Log in to the Fyle NetSuite Integration using your Fyle admin credentials.

  2. Navigate to Configurations -> NetSuite Expense Fields tab and click on the Add Custom List / Record / Segment button.

  3. You will need to enter the following values copied from NetSuite:

    • Script ID

    • Internal ID

    • Record Type

  4. Once you enter these values, click on Save.

Points to Note About the IDs:

Understanding these key points is crucial to avoiding errors.

  • The "Script ID" is obtained from the Line Item Fields section in NetSuite and identifies the specific field within an expense form.

  • The "Internal ID" is obtained from the Custom Segment/List/Record page in NetSuite and identifies the custom List, Record, or Segment as a whole.

  • The "Record Type" simply indicates the type of the record you are configuring, whether it is a custom list, record, or segment.

In NetSuite, Custom Lists, Records, or Segments are used to define sets of values that can be utilized throughout your account. In contrast, Line Item Fields are created specifically for use within certain expense forms. The integration's purpose is to import values from the Custom List, Record, or Segment (allowing users to select from a dropdown in Fyle) and populate these values into the Line Item Field when exporting expenses.

Follow the below steps once you've logged into your Netsuite account using your credentials.

Step 1: Obtain the Script ID of the Line Item Field

  1. Navigate to Customization -> Lists, Records, & Fields and click on Transaction Line Fields.

  2. Copy the value in the 'ID' column for the NetSuite Script ID.

    Note: If you are unable to find a Transaction Line Field record for the field you desire to import to Fyle, then you may go ahead and create a New Transaction Line Field.

Step 2: Obtain the Internal ID of the Custom List/Record/Segment

  1. Navigate to Customization -> Lists, Records, & Fields again, and this time, click on Lists or Record or Segment Type based on the field you need to integrate.

  2. Copy the value in the 'INTERNAL ID' column for Custom Lists/Records/Segments.

  3. Point to Note for Custom Segments:

    If you wish to import a custom segment into Fyle, ensure that the custom segment field you want to import has edit access granted for the Fyle NetSuite integration user role. To confirm this:

    1. Go to Customization -> List, Records, and Fields -> Custom segment.

    2. Click on Edit next to the Custom Segment you want to import.

    3. Navigate to the Permissions tab within this field.

    4. Ensure that the Default record access level and the Default search/reporting access level are set to Edit.

    5. Ensure that 'Fyle Netsuite Integration Role' is added to the Role section.

Step 3: Import the above to Fyle-NetSuite Integration

  1. Open the Fyle <> Netsuite Integration

  2. Navigate to Configuration -> Import Setting page and click on the Add Custom Segment/List/Record button

  3. Select whether you want to import a Custom List, Custom Record, or a Custom Segment from Netsuite

  4. Enter the following values copied from NetSuite:

    • Internal ID

    • Transaction Line Field ID

  5. If the values you entered are valid and match the corresponding IDs in your NetSuite account, the custom List, Record, or Segment will be added to the Import Settings Page

  6. You can now, map it to the required field in Fyle by selecting a value or creating a new expense field under Fyle Fields.

  7. Switch the Import to Fyle toggle on and click on Save.

By following these steps, you'll successfully set up custom Lists, Records, or Segments in the Fyle NetSuite Integration, ensuring smooth data integration between both platforms.
