View corporate card transactions in your organization
As an admin, you have visibility over all the transactions across all corporate cards in your organization.
To view all the transactions in your organization,
From the left panel, go to Corporate Cards > Transactions. This page contains all the corporate card transactions in your organization's Fyle account.
Click on any transactions to view more details about the transaction.
To customise your view of the transactions,
On the right side of the page, find the Manage Columns button. You can use this option to customise the list and order of information you see when viewing the list of transactions.
You can also use the filter options to find transactions using various conditions.
Export corporate card transactions
As an admin, you can export the list of corporate card transactions into a sheet. To do so:
Select the transaction(s) you want to export. You can filter out transactions for specific durations, for example, the current calendar month.
Click on Export on the top right on the screen.
Select the required format: Excel or CSV.
Click on Export. This will successfully export the selected transactions and you will receive the export on your email address.
Assign or reassign corporate card transaction
By default, all transactions on any card are assigned to the employee to whom a card is assigned. However, as an admin, you can add or change the assignee for any corporate card transaction.
Add assignee for any unassigned transaction
For any card that is not yet assigned to any employee, you can assign the corresponding transactions to any employee as required. To do so:
From the left panel, go to Corporate Cards > Manage Cards.
Switch to the Unassigned Cards tab.
Open the required card.
Switch to the Unassigned Transactions tab.
Select the transaction(s) you want to assign. Click on Assign Transactions.
Select the employee from the drop-down list and click on Assign. The transaction(s) will be assigned to the selected employee.
Change assignee for any assigned transaction
For any card that is assigned to any employee, all transactions from the card automatically go to the assigned employee's Fyle account. However, you can change the assignee for any such transaction if required. To do so:
From the left panel, go to Corporate Cards > Manage Cards.
Switch to the Assigned Cards tab.
Open the required card.
Select the transaction(s) you want to reassign. Click on Reassign Transactions.
Select the employee from the drop-down list and click on Change Assignee. The transaction(s) will be reassigned to the selected employee.
Delete corporate card transaction
As an admin, you can delete any corporate card transaction if you do not want it available in your organization's Fyle account.
Note: Employees without admin access do not have the power to delete corporate card transactions.
Before you proceed to delete a transaction, please note:
Deleting a transaction from Fyle is an irreversible action.
It is not possible to delete a transaction if it is in Submitted, Approved, Processing or Closed state.
To delete a transaction:
From the left panel, go to Corporate Cards > Transactions.
Select the transaction(s) you want to delete.
Click on Delete on the top right corner.
On the confirmation message, click on Yes, Delete Transaction(s) to confirm the action. This will successfully delete the selected transaction(s).
Mark corporate card transaction as Personal
In case an employee uses an assigned corporate card to make a purchase that is not a business expense, you can mark this transaction as Personal. By doing so, the transaction will not be matched with any expense on Fyle as they were not requested by the organization.
To mark a transaction as personal:
From the left panel, go to Corporate Cards > Manage Cards.
From the Assigned Cards tab, select the required card.
Note: Only assigned transactions can be marked as Personal. This option is not available for unassigned transactions.
Select the required transaction(s) using the checkbox(s)
Click on More > Mark as Personal.
This will successfully mark the transaction as personal. To undo this classification:
Select the required transaction.
Click on Undo Classification.
