How do I delete a project? Why am I unable to delete a project?

Fyle allows you to delete any project that is no longer needed in your Fyle account. This comes handy in case you have created a project by mistake, or created a project that is not useful or relevant in your organization.

Steps to delete a project

  1. Go to Admin Settings > Organization > Projects.

    Clear any applied filters to view your entire list of projects.

  2. Select the project that you want to delete, press "Delete" and confirm the action to delete the project. Please note: once confirmed, this action cannot be reversed.

  3. You can also delete multiple projects at once in the same way. Select all the projects that you want to delete, press "Delete" and proceed to confirm the action.

Please note:

If your organization restricts employees to their own projects, any deleted project will be removed from the allowed projects for all employees. For example, if employee Natalie was allowed to use project Emerald Park- once the project Emerald Park is deleted, it will be removed from the list of projects allowed for her.

Cases when a project cannot be deleted

Fyle only allows you to delete projects that are not in use in your Fyle account. When you try to delete a project that is in use, you will see a message indicating that the selected project is in use in your Fyle account.

To proceed with deleting this project, you will need to remove the project from any place in which it is being used in your Fyle account. For example, if you are trying to delete the project Corner Stone Cafe, but are unable to do so, you can use the following steps to check where project Corner Stone Cafe is being used.

Step 1: Check if the project is linked to any Expense

Go to the Company Expenses page and apply a filter to find any expenses linked to project Corner Stone Cafe. You will be able to see if the project is being used in any expenses.

It is not recommended to delete this project, since it is in use in expenses. If this project is no longer relevant to your organisation, you can consider disabling it instead. However, if you really wish to proceed with deletion of this project, you can change the project of any linked expense(s) and proceed to do so.

Step 2: Check if the project is being used in any Policy

Go to Admin Settings > Expenses > Policies and review your policies to determine whether project Corner Stone Cafe is being used in any policy.

In case you still wish to delete the project, remove project Corner Stone Cafe from any policy it is being used in. Please note that this will affect how your policy works for all future expenses.

Step 3: Check if the project is being used in any Expense Rule

Go to Admin Settings > Expenses > Expense Rules and review your expense rules to determine whether project Corner Stone Cafe is being used in any expense rule.

In case you still wish to delete the project, remove project Corner Stone Cafe from any expense it is being used in. Please note that this will affect how your expense rules works for all future expenses.

Step 4: Check if the project is being used in any Budget

Go to Admin Settings > Expenses > Budgets and review your budgets to determine whether project Corner Stone Cafe is being used in any budget.

In case you still wish to delete the project, remove project Corner Stone Cafe from any budget it is being used in. Please note that this will affect how your budget is being calculated.

Step 5: Check if the project is being used in any Dependent Field

Go to Admin Settings > Expenses > Expense Fields to determine whether project Corner Stone Cafe is being used in any dependent field.

In case there is any dependent field based on Projects, click on the dependent field to check the dependent field values to determine whether there are any values based on project Corner Stone Cafe.

It is not recommended to delete this project, since it is in use in dependent fields. If this project is no longer relevant to your organisation, you can consider disabling it instead. However, if you really wish to proceed with deletion of this project, you can change the values of the dependent field.

Step 6: Delete the project

Once you have successfully completed the above 5 steps to ensure that your selected project is not being used anywhere in your account, you can proceed to delete it from the Projects page. You will now be able to successfully delete the project.
