Streamlining Cost Analysis with Sage 300 CRE and Fyle Integration

Sage 300 CRE facilitates the setup of standardized cost codes and categories, enhancing efficiency in job management and ensuring consistent cost analysis. Concurrently, the integration between Fyle and Sage 300 CRE enables seamless importation of dependent fields, such as Cost Code and Cost Category, associated with Jobs in Sage 300 CRE. These imported fields are utilized within Fyle for accurately coding expenses.

Understanding Dependent Fields

A dependent field in Fyle is a hierarchical drop-down field that controls the values displayed for a second field based on the selection made in the first field when creating an expense.

  • Primary Field: Project/Job

  • Dependent Fields: Cost Code, Cost Category

When a specific value is selected in the Project/Job field, only the relevant Cost Code values will be displayed. Similarly, selecting a specific Cost Code will display only the relevant Cost Categories.

Importing Jobs with Dependant Fields

In the Import Settings page, if you map the Job field in Sage 300 to the Project field in Fyle and enable the import, the Cost Code and Cost Category will be imported automatically as dependent fields.

Important Note:

An expense coded to a Job must also be coded to a relevant Cost Code and Cost Category for an error-free export.

  • Ensure that every Job required for import has associated Cost Codes and Cost Categories in Sage 300 CRE. Jobs without assigned Cost Codes or Cost Categories will not be imported into Fyle.

  • Similarly, every Cost Code and Cost Category required for import must be linked to a corresponding Job/Project in Sage 300 CRE. Cost Codes or Categories without associations with a Job will not be imported into Fyle.

Since Fyle does not have existing fields for Cost Code and Cost Category, create two new custom fields. This allows employees to select values for these dimensions in the expense form.

To view imported dependent fields in Fyle, navigate to Expenses > Expense fields > Custom fields > Dependent fields.

A sample export of how the selected Cost Code and Cost Category will look like on Sage 300 CRE:

Optional: Export Commitment Value

You can choose to export the Commitment value based on the Job, Cost Code, and Category chosen by employees. The Commitment will not be a selectable option in Fyle but will be automatically populated in Sage 300 CRE during the export based on the Job, Cost Code, and Cost Category combination.

If you have commitments set up in your Sage 300 CRE account based on specific Job, Cost Code, and Cost Category, enable the auto-export commitment option.

Note: The Commitment value will not be visible in Fyle but will be reflected in Sage 300 CRE upon export.
