Here are the answers to the most frequently asked questions to help you understand and manage the corporate card expenses on Fyle.

We recently worked on improving and simplifying how corporate cards are managed on Fyle. You need not classify the transactions, and Fyle automatically creates expenses from the transactions. You can read more about managing corporate card expenses on Fyle web and mobile apps here.

The corporate card expenses will now appear on the Expenses page, and we removed the Corporate Cards section in Individual view. Here are the answers to the frequently asked questions about managing corporate card expenses.

  1. Why is there a sudden increase in the number of expenses?

    All unclassified transactions under the Corporate Cards section are moved to the Expenses page. Hence, the number of expenses increased. You can find them under the Ready to Report or Incomplete section of the Expenses page.

  2. How can I delete those corporate card expenses which are no longer needed?

    Since the spend has already happened from the Corporate Card, as a user of Fyle, you can't delete the corporate card expenses. To delete the corporate card expenses for which the settlement has already happened, please reach out to your admins to delete the corresponding transactions.

    Admin

    If you're an admin, please follow these steps to select the transactions and delete them so that corresponding expenses are also deleted.

    a. Go to Organization view ➝ Corporate Card Transactions page

    b. Filter by Expense State, Transaction Date, and Card Holder.

    c. Select the transactions which are no longer needed and delete them.

    Note: As an admin, you will be able to delete the transactions for which the corresponding expenses are either in Fyled or Incomplete state. If the expense is added to an expense report and is Reported, you will not be able to delete the transaction or expense.

  3. Why can't I edit the amount, date of spend, and currency on expenses?

    You can't change the Amount, Spend Date and Currency for the corporate card expenses. As the transaction already happened, restricting you to edit the basic details ensures fair reporting as the corporate card transactions have the actual data.

  4. How can I handle the duplicate expenses created from the corporate card transactions?

    If you manually create an expense before the transaction flows into Fyle, it might create duplicate expenses after the transaction is on Fyle.

    As the expense is automatically created from the transaction, Fyle automatically merges these two expenses into one expense. Click here to know more about handling duplicate expenses.

  5. How can I mark my corporate card expense as personal?

    If you have any personal transactions made through your corporate credit card, it's easy to mark them as personal within Fyle. Follow the steps mentioned here to mark your expense as personal.

  6. How can I dismiss the refunds, cashbacks on my corporate card?

    If you have any refund or cashback (credit) transactions on your corporate credit card, it's easy to dismiss them. Follow the steps mentioned here to dismiss your credit expenses.

  7. Will there be a policy violation on the corporate card expenses?

    Yes, the policies created by your admin will be applied to your card expenses. However, if your admin has configured a critical policy violation (making the expense unreportable), it will be converted to a regular policy violation on which your admins will have visibility. You can report those expenses.
